Personal Trainer Contract Template (UK)

A personal trainer contract is a document that sets out the agreement between trainer and client, including services, payments, bookings, cancellations, and responsibilities. For many UK trainers, it forms the core of a wider client setup flow.

Contract overview

A personal trainer contract usually sets out the working relationship between trainer and client. This often includes the coaching service, payment structure, session booking, cancellation rules, and general training risk. In practice, it usually works best when supported by the other documents used in a clear client setup flow.

What this contract usually covers

  • Coaching services and session delivery
  • Bookings, payments, and cancellations
  • Late arrival and rescheduling expectations
  • Health disclosure and training risk
  • Core agreement terms between trainer and client

Who typically uses this

  • Independent personal trainers
  • Online coaches offering 1:1 sessions
  • Mobile or home-visit trainers
  • Small studios and freelance PTs

How it fits into client setup

  • The agreement usually acts as the core trainer-client document
  • Many trainers also use a PAR-Q, liability waiver, and related supporting documents
  • Using Client Kit can make the whole process clearer for both trainer and client

Where this contract fits in a trainer’s client setup flow

Many trainers use the contract as the core document in a broader client setup flow, supported by health screening, waiver wording, and clear client policies.

That usually means the agreement does not sit in isolation. It is often supported by the other key client documents so booking rules, payment expectations, training risk, and client responsibilities are clear before training begins.

Common documents used alongside the contract

  • • PAR-Q Health Questionnaire
  • • Liability Waiver
  • • Terms and Conditions
  • • Cancellation Policy

Why many trainers use Client Kit

Client Kit helps the agreement, health screening, waiver wording, supporting documents, and tracker sheet stay aligned from the start, rather than being pieced together later.
